Inviting foreigners by Polish businessman

More and more often the main reason why the foreigners to come to Poland are business purposes. Polish companies often invite their foreign partners to Poland in order to organize meetings or various training courses for employees of their foreign branches or for their foreign partner companies. Foreigners who plan to come to Poland often want to get an official invitation from their partners – Polish entrepreneurs. The invitation is a major facilitation for people applying for a visa. The registered invitation can be used as a document confirming that the foreigner have sufficient financial means to cover the costs connected with the stay in Poland, including the costs of accommodation and board, the costs of return to the country of origin or residence or the costs of transit to a third country, which provides leave to enter.

In order to invite a foreigner to Poland, it is necessary to submit an aplication to register the invitation into the invitation register and pay the stamp duty on the aplication ( 27 PLN). The aplication is submitted to the appropriate Voivodship Office. The invitation can be issued not only by a private individual, but also by a legal entity or other organizational unit without legal capacity that has its registered office in the territory of Poland.

The application must be attached with the following documents:

? Current copy of entry National Court RegisterKRS

? Statement about the state statistical number (REGON)

? Documents confirming having sufficient financial means to cover the costs connected with the stay in Poland, including the costs of accommodation and board, the costs of return to the country of origin or residence or the costs of transit to a third country, which provides leave to enter (e.g. proof of income of the company or a bank statement)

? Document confirming the legal title to the premises if they were indicated as the accommodation of the invited foreigner (document confirming the right to use the apartment which the inviting party will provide to the foreigner after entering the territory of Poland e.g. deed of an apartment or a lease contract) or a proof of lodging ( e.g . booking a hotel room )

? proof of payment of tax duty (27 PLN).

Personal data of the invited person must be completed in accordance with the passport (for citizens of Ukraine , Russia and Belarus – according to a transliteration ). It is very important that the aplication is completed consistently in one language i.e. typing the name of a place or street either in Polish or in English or in other foreign language according to the transliteration.

The proceedings of registering the invitation last for 30 days from the date of filing the application. However, if the the arrival of the foreigner is to take place earlier, it is helpful to attach en extra application justyfying the necessity to register the invitation in a shorter period of time.

The aplication to register the invitation into the invitation register can be submitted by a person entitled to represent entrepreneur or an employee ( or other person) having the power of attorney to submit the aplication. The registered invitation can be collected personally by the inviting party or by a person who has special power of attorney to collect the invitation.
